Privacy policy - Applications for training

This privacy policy describes how ISCTE Executive Education collects, processes and protects information about your personal data, and the choices you can make about the way ISCTE Executive Education may use your personal data. We consider personal information to be information which, by itself or in combination with other information, allows you to be identified or contributes to your identification.

The present privacy policy applies to all applicants to and participants in postgraduate training at ISCTE Executive Education.

1. Collection of Personal Information

ISCTE Executive Education may collect personal information directly through the application you submit and the subsequent enrolment, as well as through the Fénix programme, in case you have already been a student at ISCTE-IUL.

The processing of the personal information requested is necessary for us to assess the suitability to the requirements of our programmes, for the formalisation and execution of the enrolment and the provision of the services of ISCTE Executive Education.

The categories of information we collect may include:

  • Identification data (e.g. name, number and copy of identification document, date of birth, country of origin, TIN);
  • Contact information (e.g. telephone, email, address);
  • Qualifications;
  • Others (e.g. identification and emergency contacts).

2. How do we use your personal information and on what legal basis?

We may use your personal information for the following purposes:

  • Selecting and enrolling participants in postgraduate training programmes and fulfilling all obligations arising from this (academic management);
  • Managing participant files and keeping our records up to date;
  • Provision of statistical information to DGEEC (Direção Geral de Estatísticas da Educação e da Ciência) - completion of RAIDES (Registo de Alunos Inscritos e Diplomados do Ensino Superior) and RENATES (Registo Nacional de Temas em Theses de doutoramento);
  • Exercising our rights under the legislation and regulations in force;
  • Sending communications and answering the questions and requests you may make to us;
  • Disclosure of your contacts to international entities that elaborate rankings of masters, for validation purposes.
 

In most cases, the legal and regulatory bases for processing your personal data are related to one of the following situations:

Pre-contractual diligence (application) and compliance with obligations arising from the execution of the enrolment, for example ensuring access to the classes you have enrolled in, use of the facilities and the different services provided (e.g. access to the Library) ensuring that invoices are processed correctly, etc;
To comply with the legal obligations to which ISCTE Executive Education and ISCTE-IUL are subject, such as those related to the Direção Geral do Ensino Superior, Autoridade Tributária;
Your consent to: (i) retention of copy of citizen card; (ii) use of data for dissemination of programmes and initiatives of ISCTE Executive Education (direct marketing); (iii) disclosure of data to third parties for the purposes indicated.

3.Term of Conservation of your Personal Data

The data shall be kept for the period of time strictly necessary for the purposes of their treatment or by legal or regulatory determination. During the data conservation period, please inform us of any changes in the information we have about you so that we can have correct and updated information in our systems.

4.Your rights regarding your Personal Data

You can access your personal data and promote their rectification through Fénix in the shortest possible time or through a request to this effect addressed to the contacts indicated in point 8 of this notice, which ISCTE Executive Education will perform in the shortest possible time.

You may, under certain conditions, object to the processing of your personal data, limit its use or request its erasure. To exercise the rights indicated, please inform us through the contacts indicated at point 8 of this notice.

Consent is voluntary and we will only process your personal data for the purposes indicated upon the consent(s) given, and until you withdraw your consent. You may, at any time, withdraw your consent on Fenix or via a request made through the contacts listed in point 8.

The withdrawal of consent does not affect the legality of processing previously carried out on the basis of consent or of other processing activities legally required.

ISCTE Executive Education is committed to collaborate in seeking the best and fairest resolutions to the complaints regarding the processing of personal data that you may have submitted. Should you consider that ISCTE Executive Education has not been competent in the resolution of your complaints, you have the right to submit this complaint to the competent supervisory authority - Comissão Nacional de Proteção de Dados.

5. Information Sharing

As a rule, ISCTE Executive Education does not disclose or share with third parties (other than service providers acting under our guidance and responsibility), information relating to personal data, unless obliged to do so by legal and regulatory requirements.

ISCTE Executive Education may subcontract service providers for situations where there is a need to do so or where it considers there is added value. This prerogative implies the need to share information regarding personal data. ISCTE Executive Education will take all the necessary measures to ensure that the service providers offer all the guarantees of safeguarding, security and confidentiality of the shared personal data and act exclusively according to instructions addressed to them by ISCTE Executive Education.

In this case, ISCTE Executive Education discloses personal data to the following entities:

  • ISCTE-IUL for academic management purposes (issuing of certificates);
  • General Directorate of Education and Science Statistics (DGEEC);
  • Caixa Geral de Depósitos (issuing of student card);
  • Insurance companies for issuing insurance policies applicable within the scope of the programme's attendance;
  • Empresa Municipal de Mobilidade e Estacionamento de Lisboa, E.M. S.A. (EMEL) for the creation of the car park user card:
  • Providers of Transport, Accommodation, Travel Agency and Activity Organisation services that take place within the scope of attending the programme;
  • International entities responsible for the elaboration of master's degree rankings, with their consent.

Other situations in which ISCTE Executive Education may disclose personal information to third parties:

  • When permitted by law, in defence of the legitimate interests of ISCTE Executive Education;
  • When required by law or by other regulatory obligations of public bodies.

6. Security of Personal Data

ISCTE Executive Education guarantees the use of appropriate techniques, organizational and security measures to protect personal information avoiding its loss, misuse, alteration or destruction, guaranteeing its integrity, availability and confidentiality. All employees are required to keep personal data confidential. Only authorised personnel bound by the duty of secrecy and confidentiality shall have access to this information.

7. Transfer of Information

The main information support systems of ISCTE Executive Education are hosted on servers located in Portugal. However, there may be a need for personal information to be transferred, filed or treated in a different country. In such cases the transfer of data is made in accordance with the requirements of the RGPD. When personal data is transferred to a country outside the European Economic Area (EEA), adequate safeguards will always be provided, by the use of legally binding and enforceable rules, approved standard data protection clauses or explicit consent of the data subjects.

Privacy Policy - Participants in the internationalisation ranking of Portuguese companies (RIEP)

ISCTE Executive Education is responsible for the processing of your personal data in the context of the Ranking of Internationalisation of Portuguese Companies (RIEP).

The categories of information we collect from you may include:

  • Email;
  • Telephone.

We use your personal information as a result of your willingness to be part of the research undertaken, for:

  • Sending an invitation to an RIEP launch event;
  • Sending an invitation to participate in RIEP
  • Clarification of questions related to RIEP participation;
  • Verification of the data submitted within the scope of the RIEP participation;
  • Invitation to the RIEP Awards Ceremony
  • Sending the RIEP brochure.
